Group of Data Ordering

I have groups of data for my company in concerns to DOT

It is a nationwide company with regions, divisions, and individual stores

My question is how do I apply a template to the Excel spreadsheet as to when I type in the data (date, region, division, store, type of DOT violation, etc)

How can I input this data and Excel automatically divvy it up according to it's region then division, then store # along with the type of DOT violation. Then graph all of the data independently of each other. So in other words my boss can look at the data company wide and see the violations according to when they happened and what kind of violation they were, then be able to go to the individual region and see the same information but solely for that region; then division etc.

I'm trying to make it easy on me so I do not have to manually enter all of the information each time.

The comments of the violation are not categorized, they are simply one sentence statements of what the officer found that was in violation. I am trying to get excel to pick out certain words from the comment section to categorize it according to a system I came up with and then distribute it to the region,division etc. and graph it accordingly.

Please help as I am in need!!!
